Not in the way most people assume. Microsoft guarantees the service, not the recoverability of your data after an accidental deletion, a mailbox being emptied, or ransomware. Separate backup is worth having.

Yes. We can pick up an existing account and run it from there, including one set up by someone you're no longer working with.

Migrations are usually done in stages and outside working hours where possible. Some disruption is honest to expect, but it should be planned rather than a surprise.

Microsoft filters a great deal and it is genuinely good at the obvious things. A separate layer in front of it catches more, and gives you somewhere to look when a message someone was expecting does not arrive. Whether it is worth it depends on how much of your business runs through email and how much invoice fraud is aimed at your industry.

Yes. We run our own mail platform for exactly that — working business mailboxes without a full licence for every person. It suits teams where most people need email and very few need the rest of the suite. You can read the mail in whatever client you already use, or through our webmail. If a mailbox is more than you need, a catch-all that forwards everything to an address you already have is often enough.

However they prefer. An IMAP mailbox works with Outlook, Apple Mail, Thunderbird or a phone's built-in mail app, and there is webmail at webmail.pmail.co.nz for anyone who would rather not set up a client — or who is on someone else's machine. Applications that only need to send get a relay account with credentials rather than a mailbox, so nobody is tempted to put a person's password into a script.

It depends on the service. Microsoft 365 sits in Microsoft's regions and they publish where. For anything we host ourselves — servers, applications, mailboxes on our own mail service — we can tell you exactly where it sits, which is a fair question to ask and one you should get a straight answer to.

It gets reclaimed rather than quietly renewed. Paying for departed staff is one of the most common things we find in a licence review, and it is usually not a small number once it has been running a couple of years.

We are Microsoft-focused, so if you are on Google we would most likely be talking about moving you across rather than managing it where it is. We will be straight with you about whether that is worth doing — sometimes it is not.
